Wholesale Solar Panels: A Complete Guide to Bulk Procurement

Wholesale solar panels are easier to compare when every supplier quotes the same model requirements and delivery scope. A low price per watt can hide a different power bin, missing documents, or freight costs. This guide takes importers, distributors, and EPC purchasing teams from the first RFQ through shipment and acceptance. Use each step to decide what to request, who should review it, and what must be agreed before payment.

Before Requesting Wholesale Quotes

Start with a short purchasing brief. It gives each supplier the same basis for an offer and prevents a cheap but unusable alternative from winning the comparison.
  • Record the required DC capacity, destination market, installation type, target delivery window, and any approved module families.
  • Ask the project engineer to confirm electrical limits, module dimensions, mounting loads, and connector requirements before selecting a model.
  • Specify whether the order is for one project, repeat distribution, or a replacement batch; each case has a different consistency risk.
  • Set an evaluation basis that includes the module price, freight, duties, insurance, inspection, and payment terms.
  • Name the documents and acceptance checks you need with the quote. Treat manufacturing time and transit time as separate estimates that require written confirmation.

Step 1: Define Quantity and Site Requirements

Calculate the preliminary module count from DC capacity and rated module power, then round up. For example, 500 kW divided by 600 W is 833.33, so at least 834 modules are needed to reach 500 kW DC. This is an order estimate, not a yield forecast. The engineer must still account for string design, usable area, electrical limits, spares, and approved substitutions.
Check the site before fixing the module format. A rooftop may limit weight, dimensions, lifting access, and mounting points. A ground-mounted site may allow larger modules but still needs racking and wind-load checks. For repeat resale, confirm which dimensions and electrical ranges your customers can actually use.
Put these constraints in the RFQ. If a supplier proposes a different model, require an updated datasheet and written engineering approval before treating the offer as equivalent.

Step 2: Issue One RFQ for Wholesale Solar Panels

Send one specification sheet to each shortlisted supplier. Request the exact manufacturer and model code, power bin, quantity, destination, quote validity, Incoterms rule with named place, and a proposed shipment window. Ask whether the seller is the manufacturer, an authorized distributor, or another sourcing intermediary, and who issues the warranty.

Check Model-Level Documents

Request the current datasheet, applicable IEC 61215 design-qualification and IEC 61730 safety documentation, and destination-market certificates where required. Confirm that the model designation, bill of materials where relevant, and certificate scope match the quoted modules. A company-level ISO 9001 certificate does not replace product-level evidence.

Use Samples for a Defined Decision

A sample can help check dimensions, connectors, labeling, and handling. It cannot prove that every unit in a later shipment meets the same specification. If power testing matters, agree the sampling method, test conditions, measurement tolerance, and remedy in the purchase contract. Compare results with the manufacturer's stated power tolerance instead of using an invented universal pass/fail percentage.

Check the Supplier Role and End-Use Fit

Review the supply route, document ownership, model traceability, and who handles a discrepancy after arrival. A product catalog can help identify available categories, but it does not prove factory capacity or manufacturing control. LANERGY's product catalog is a starting point for checking module options; request written confirmation of the exact model and supply terms for this order.

Step 3: Compare Specifications on the Same Basis

Compare quotations only after the proposed models meet the same project requirements. Check rated power, efficiency, open-circuit voltage, short-circuit current, temperature coefficient, mechanical load, dimensions, weight, connector type, and the exact warranty issuer. The project engineer should review electrical and mounting compatibility.

Separate Module Efficiency From Energy Yield

Module efficiency describes rated conversion under standard test conditions; it does not predict a project's annual output by itself. A bifacial module may collect additional rear-side light, but the gain depends on layout, ground reflectance, and obstruction. Ask for site assumptions in any yield estimate. Do not add rear-side gain to a module-efficiency figure in a comparison table. LANERGY's solar module guides provide background on these terms; the quoted model's datasheet and site model remain decisive.

Confirm Physical and Electrical Compatibility

Check the quoted module's actual dimensions and mass against the racking drawings, roof limits, lifting plan, and pallet access. Confirm the voltage range and string configuration with the inverter design. For a repeat order, ask how the seller will notify you of a model, component, or packaging change.

Step 4: Compare Commercial Terms Without Assumptions

Request quotes for the same quantity and delivery basis. Record the minimum order quantity for each exact model rather than assuming a container-wide rule. Ask for the pallet count, modules per pallet, container plan, and packing drawing. Loading quantities vary with module dimensions and packaging, so use the supplier's current plan.
Compare price per watt alongside currency, quote validity, tax treatment, freight scope, insurance, payment milestones, and inspection costs. Ask for volume tiers only when they match your purchasing plan. A lower unit price can increase total landed cost if the buyer takes on more freight or inventory.
Write down what each quote excludes. One seller may price transport to a port; another may include delivery to a named destination. Normalize the comparison before selecting an offer, and have the importer confirm local duties and required documents.
Record the production or availability statement, planned dispatch date, transit estimate, and responsibility for delay. Set a process for notice, evidence, and remedy in the contract. Do not treat an informal lead-time estimate as a delivery guarantee.

Step 5: Agree Shipping, Inspection, and Acceptance

Before the order is final, convert the winning quote into a purchase order with the approved model, quantity, documents, packing plan, inspection scope, and delivery responsibilities.

Name the Incoterms Rule and Place

State the Incoterms 2020 rule and a precise named place. For containerized shipments, compare FCA, CPT, CIP, or other suitable terms with the freight plan; FOB and CIF have specific sea-transport uses. Confirm who arranges carriage, insurance, export clearance, import clearance, and unloading. The ICC Incoterms 2020 checklist explains these choices.

Read Both Warranty Documents

Check the product warranty and performance warranty for the exact model and sales region. Record the issuer, start date, exclusions, degradation schedule, claim evidence, and remedy. Ask who receives the claim if the seller is a distributor. Do not assume a warranty term from a technology category or from a comparison chart.

Check Market Documents and Labels

Confirm required destination-market approvals with the importer or local compliance specialist. IEC 61215 addresses design qualification, while IEC 61730 addresses module safety; North American buyers should check the applicable UL 61730 listing and any local requirements. Match the certificate, module label, and serial-number records to the shipment. Appearance alone cannot establish compliance.

Before release, agree the inspection point and evidence: model labels, serial-number list, packing list, visible damage checks, and any contracted electrical testing. At arrival, record shortages or damage promptly against the shipping documents. Ask the seller how nonconforming modules will be handled; record the agreed process in writing.

Resolve Common Procurement Problems

A useful contract anticipates what happens when the delivered goods or documents differ from the approved offer.
  1. Output differs from the agreed power bin. Compare serial-level flash data and any contracted sample test with the stated tolerance; follow the agreed dispute procedure.
  2. The proposed MOQ exceeds demand. Ask whether a smaller lot or mixed shipment is available, then compare its cost and model consistency before approval.
  3. A warranty claim is disputed. Keep the invoice, serial numbers, installation records, photos, and written warranty terms needed for the issuer's review.
  4. Customs clearance stalls. Confirm classification, origin, destination-market documents, and the responsible importer before dispatch.
  5. The delivered model differs from the RFQ. Check labels and packing records at the agreed inspection point; require engineering approval before accepting a substitution.
A strong wholesale solar panels purchase starts with one comparable RFQ and ends with a documented acceptance decision. Confirm the exact model, certificate scope, warranty issuer, shipment terms, and inspection method before committing funds. Use LANERGY's contact page to share your project requirements and request confirmation of the available supply option.
